Frequently asked questions

How do you keep my data safe?

Data security is paramount at Pia. We handle large volumes of highly sensitive data from a range of industries and sectors, and are trusted with processing, protecting, and then safely destroying that data at suitable intervals.

We hold ISO 27001, having consistently met the requirements for a robust Information Security Management System. We are also Cyber Essentials Plus certified. Our GDPR policy is available should you wish to read it.

When it comes to receiving documents for transcription, Pia relies on Egnyte to keep our data secure with its robust security features. Egnyte provides us with a centralised administration system, full audit capabilities, and comprehensive data protection for content at rest and in transit.

We benefit from built-in controls like password strength enforcement, two-factor authentication, and customisable account expiration dates that help secure our user accounts. Egnyte uses 256-bit AES encryption for files both in transit and at rest, ensuring our data’s integrity and security.

Additionally, Egnyte’s secure data centres within the EU offer us fast access and geographic redundancy, with constant replication to protect against data loss. Egnyte complies with GDPR protocols and has an ISO/IEC 27001-certified information security management system, giving us peace of mind.

Do you follow Accessibility Standards?

Yes, we work closely with the UK Association for Accessible Formats (UKAAF), with Pia employees as active board members. We also hold ISO 9001 for “The transcribing of print communications into braille and alternative formats for people with visual impairment”.

How do I request an accessible format?

You can request documents for transcription either via our online forms or by sending an email to post@pia.co.uk where a member of the Sales and Marketing team can discuss your needs. To better understand the process of working with us, click here.

What types of documents can you transcribe?

We can work with a wide range of content, including letters and statements, menus, exams, books, magazines, reports, ballot papers, theatre and art programmes, booklets and leaflets, signage, business cards, flashcards, poems and songs, maps, and much more.

Can you transcribe into different languages?

Internally we can provide Welsh translation, we have a number of fluent staff members who can confidently offer this in text, braille, and audio.

For any other language we have trusted partners who can provide a wide range of languages for us to work with, but we cannot proof-read the content they provide. When transcribing braille, this adds another layer of conversion – from English to the desired language, and then from text to braille if applicable.
